Front Desk Receptionist

JOB SUMMARY 
The Receptionist serves as the first point of contact for visitors, employees, vendors, and callers, providing professional customer service and administrative support to ensure efficient front office operations. This role manages reception area activities, directs inquiries, coordinates visitor access, and supports routine office administration.

In addition to primary reception duties, the Receptionist may provide limited administrative support to departmental Administrative Assistants during temporary staffing shortages, employee absences, PTO coverage, or periods of increased workload

JOB SPECIFICATIONS AND CORE COMPETENCIES
Reception & Guest Services
Greets and assists visitors, employees, vendors, and guests in a professional and courteous manner
Answers, screens, and directs incoming telephone calls
Maintains visitor logs, security procedures, and guest check-in processes
Monitors reception area and ensures a welcoming, organized environment

Office Operations Support
Receives, sorts, and distributes mail, packages, and deliveries
Maintains office supply inventories and submits replenishment requests
Assists with conference room scheduling and office logistics
Supports basic facility-related requests and service tickets

Administrative & Clerical Support
Performs filing, scanning, copying, and document management
Assists with data entry, record maintenance, and departmental tracking logs
Supports preparation of routine correspondence and standard communications

Meeting & Event Support
Assists with meeting preparation, room setup, and coordination
Supports training sessions, employee events, and departmental meetings

Administrative Assistant Float Coverage
Serves as a temporary administrative support resource during approved PTO, vacancies, or unusually high departmental workloads
Assists Administrative Assistants with routine scheduling, document preparation, meeting coordination, data entry, and administrative follow-up activities
Performs only basic to intermediate administrative functions while maintaining primary front desk responsibilities whenever operationally feasible
Does not routinely support executive-level administrative functions unless specifically assigned
Other duties as assigned


QUALIFICATIONS: 
Education/Specialized Training/Licensure: High school diploma or GED required.

Associate's or Bachelor's degree in Business Administration, Communications, or related field preferred. 

Work Experience (Years and Area): 1-2 years of receptionist, customer service, or office support experience

Experience in healthcare or corporate office environments

Experience supporting small workgroups or coordinating tasks.

Software Proficiencies: Microsoft 365: Outlook (Calendar scheduling, meeting coordination, room booking via outlook) Word, Excel (basic functions, Teams 

Experience with visitor management, room booking and ticketing systems
