JOB SUMMARY:   

This Sr. Administrative Assistant is responsible for providing administrative support for the Chief 
Human Resources and Administrative Officer (CHRAO). Assist with supporting all assigned 
human Resource programs, projects and initiatives and proactively coordinate meetings and 
department HR Town Halls. Process information requests across the entire HR department and 
with operations leaders in the organization. Closely interface with the CHRAO to prepare 
information for Board Meetings, Executive Committees and/or other external stakeholder 
meetings. Consistently maintain a level of communication and execution aligned with the core
values and mission of the organization. Must maintain a high level of confidentiality, integrity 
and discretion.

JOB SPECIFICATIONS:

25% Calendar Management: Maintain CHRAO calendar, scheduling meetings, juggling 
multiple and conflicting meetings, understanding meeting prioritization, ensuring 
CHRAO has needed materials and preparations for key meetings, appropriate travel 
time, anticipating needs to reschedule, substitute attendees and other calendar 
related activities. Also assists with calendaring meetings for other Executive Leaders, 
as needed.
 

25% Management and Other Committee Meetings: Prepares agendas and minutes for
assigned committees and other called meetings. Plans and arranges meals and 
refreshments for meetings and events ensuring attractive presentation and timely 
post meeting clean up.
 

30% Administrative Support: Answers phones, welcome guests, re-directs requests 
appropriately, receives reviews and prioritizes mail, Manages forms and documents. 
Prepares correspondence, reports, and memos. Makes travel arrangements and 
processes expense reports. Fulfills information requests.
 

15% Research, Reports and Presentations: Completes research, develops drafts and 
works with the CHRAO on the development of final versions of proposals, 
presentations, reports.
 

5% Other duties may be assigned

MINIMUM QUALIFICATIONS:    

Education/Specialized Training/Licensure: High School Diploma.  Formal business school preferred.
Work Experience (Years and Area): Five (5) years Senior Management Level Secretarial Experience.
Software Operated: Microsoft Office (Word, Excel, PowerPoint, Outlook)
SPECIAL REQUIREMENTS:    
Communication Skills:  Above Average Verbal (Heavy Public Contract), Writing /Composing: Correspondence /Reports 

Other Skills:
Analytical, Dictation/Transcription, Typing wpm 65, MS Word, MS Excel 

Other Requirements: Demonstrated ability to communicate effectively with leadership, staff and external customers on behalf of the Executive

Working schedule: Onsite/flexibility
