Job Summary
Manages Time & Labor transactional data. Performs intermediate to complex historical edits, routine functional table configuration, contributes to maintenance of documentation, and liaises with IT and stakeholders. Able to recommend opportunities to improve processes and assist leadership with deploying NET NEW functions.
Position reports directly to the Time & Labor Manager. Coordinates the time collection system's bi-weekly timecard close process and creates the corresponding interface files for Payroll, Time- off Accruals, and other business needs. Manages time and labor transactional data, investigates system errors during import of time, validation, approval and transfer processes. Adheres to organizational and departmental record retention procedures at all times. Ensures appropriate signature of authority exists on requests for action.
Assist with validating Kronos bi-directional interfaces. Monitors for repeat process failures and formally notifies the T&L and/or leadership where further assessment may be needed for resolution. Review and compute intermediate calculations. Perform research and analysis to correct errors and troubleshoot process/system failures within span of control.
The Time & Labor Close Coordinator oversees a high volume of data in a fast-paced environment. Must perform daily continuous monitoring and notify stakeholders of appropriate actions to resolve findings. Follows-up on outstanding items regularly to resolve discrepancies prior to pay period close deadlines. The position may delegate authority of a timekeeper or approver as business needs dictate. May perform routine system maintenance. Directly responsible for coaching stakeholders on day-to-day operational activities and will create scripts, hyper-finds, and/or other resources to address recurring issues in an effort to shorten both time and level of effort for future resolutions. Position will identify opportunities for improvement and inform leadership of any and all compliance concerns.
Assists or backfills for other Time & Labor staff. Agrees with entries prior to keying. Informs leadership of any concerns and collects additional support as the situation demands.
Directly responsible for working basic-to-intermediate support tickets from both internal and external customers, requires the ability to conduct research and perform calculations, analysis, and data entry to support labor processes. Applies first-touch resolution methodology to minimize escalations and reduce lag time delays in processing efforts. Coordinate with departmental Timekeepers, HR, PR, IT, etc. to ensure tickets are worked within a reasonably accepted time period. Creates transparency for those involved in resolution efforts and trains stakeholders to take ownership of tasks.
The successful candidate should be able to demonstrate a solid knowledge of time collection systems and have the ability to work both independently and in a team environment.
Minimum Qualifications
Education/ Work Experience:
Bachelor's Degree in Business, Accounting, Finance or related field preferred and three (3) years work experience
OR
High School Diploma /GED and seven (7) years experience
Communication Skills: Public Speaking, Verbal Communication, Writing/Correspondence, Writing/Reports
Proficiencies: MS Excel, MS Outlook, MS Word, PC, Typing Between 40+ wpm
